Approval conditions

During the service's operational hours, the approved provider must ensure there is one additional educator working directly with children, above the minimum number of educators required under Regulations 123 and 369 of the Education and Care Services National Regulations 2012. From 25 September 2025, the approved provider must ensure that the nominated supervisor of YMCA Port Hedland Early Learning Centre conducts an audit every 8 weeks (minimum 6 times per annum) to ensure that all staff employed by the service are following all of the service’s policies and procedures regarding serious incidents, complaints alleging the Law has been contravened and prescribed matters detailed in Regulation 175 have been notified to the Regulatory authority within the legislated timeframes. The approved provider must ensure that a written record of each audit is made immediately after it is conducted, including details such as the time and date of the audit, who conducted it, and the accompanying audit results. The approved provider must ensure that: a. All new staff who attend the service, including permanent, relief and agency staff, complete a service induction which includes training about service specific supervision, safeguarding and incident reporting requirements and how to comply with the service approval conditions; and b. This induction must be completed prior to them commencing any shifts; and c. The nominated supervisor ensures that a written record signed by the new staff member is made immediately after the induction has been completed and indicates on that record that the nominated supervisor is satisfied that the new staff member fully understands the service’s policies and procedures. The approved provider must ensure that, following any incident of inappropriate sexual behaviour by a child in attendance at the service, a documented safety plan is to be prepared which includes: - consideration of triggers and contributing factors to the behaviour occurring; and - an assessment of potential risks to the child and other children attending the service; and - strategies that will be put in place to mitigate the identified risks, including consideration of whether changes are required to service policies, procedures, supervision practices and the service environment; and - staff training required to implement the safety plan effectively. The approved provider must ensure all staff who attend the service, including permanent, relief and agency staff, are provided training on how to implement any safety plans in place and: a. that this training must be completed prior to them working directly with children for the purpose of being included in the ratio; and b. that the nominated supervisor ensures that makes a written record signed by each staff member is made immediately after the training has been completed and indicates on that record that the nominated supervisor is satisfied that each staff member fully understands the strategies to be implemented as part of the safety plan.
